FAQs

Every question has an answer. Can't find the answer to your question? Let us know!

How can companies enforce CO2 limits and sustainability goals within a mobility budget?

Yes. With Mbrella, employers can manage mobility budgets according to their own mobility policy, including rules on sustainable mobility, budget limits, and allowed expense categories.

This allows companies to give employees more flexibility in their mobility choices, while HR and finance maintain control over costs, compliance, and sustainability objectives.

Can Mbrella link mobility expenses to CO2 reporting?

Yes. Mbrella helps companies gain better insight into their mobility data, including costs, travel, and CO2 impact. These insights can be used to optimise mobility policies and support sustainability reporting.

This is particularly relevant for companies looking to better understand their Scope 3 emissions or prepare for reporting requirements such as CSRD.

Can different rules apply to different employee groups?

Yes. Mbrella allows employers to create rules for different roles, teams, or user groups. This means a company can set different mobility budgets, limits, or allowed options depending on the profile.

This makes it possible to apply a sustainable mobility policy flexibly, without manual tracking in spreadsheets.

Does Mbrella offer an EV charging card linked to company budgets, for public charging sessions ?

Yes. With Mbrella Charge, employees get access to a smart charging card and mobile app, allowing them to charge at the vast majority of public charging stations in Belgium. For fleet and mobility managers, charging costs are centrally managed within the Mbrella platform.

What happens with charging sessions that are not included in the company mobility policy?

Mbrella Charge supports split billing. Costs that fall within company policy are covered by the employer, while costs outside the policy can be automatically charged to the employee.

Is Mbrella Charge linked to the mobility budget?

Yes, it can be. Mbrella is designed to centrally manage mobility budgets and expenses in general. This allows EV charging costs, public charging sessions, home charging, and other mobility expenses to be tracked within a single platform.

Why use an EV charging card via Mbrella?

Because Mbrella offers more than just a charging card. Employers gain control over charging costs, budgets, policy rules, reporting, payroll integrations, and anomaly detection. Employees benefit from a simple charging experience through one card and app.

How long does it take to implement the mobility budget ?

This depends on the size of your company and how advanced your company is (existing mobility policy, TCO calculation...). We take the necessary time to ensure a high-quality and fully compliant implementation. For SMEs ready and looking for a standard implementation it typically takes 10 business days to a few weeks from the preparation phase to operational platform. Don’t hesitate to reach out to find out what applies to your company.

Does Mbrella support the cafeteria plan?

No, Mbrella doesn't offer to manage the Belgian cafeteria plan. Although, we support the management of the Flex Budget which, unlike the Legal Mobility Budget, can be used by everyone, without specific conditions, and within the framework of a cafeteria plan.

Is the legal mobility budget mandatory?

It will be. Companies with more than 50 employees will have until 1 January 2027 to comply, and until 1 January 2028 for companies with 15 to 50 employees. Companies with fewer than 15 employees are currently exempt. The ONSS ‘importance code’ is used to determine the average number of employees (set each year in January by the ONSS based on employment during the reference period, which includes the first three quarters of the previous year and the fourth quarter of the year before that). Exception: employers qualifying as a “company in difficulty” (according to the applicable fiscal definition) are not required to offer the mobility budget when the 36‑month condition is met.

What is the cost of Mbrella Pay?

Mbrella Pay distinguishes itself with clear costs and customizable features, putting control in the hands of both employers and employees, without any transaction fees. A single fee of €5 is charged for the production and delivery of the card. The cost of the card can be deducted from the employee's budget.

How to calculate the federal mobility budget?

To calculate the allowed mobility budget, you need to determine the Total Cost of Ownership (TCO) of the company car. This including all related expenses such as purchase or lease price, fuel, insurance, maintenance, taxes, and depreciation. You can use the actual costs formula or the lump-sum formula. The chosen calculation method should be used consistent within your company. Mbrella can help you calculating the TCO.

Is my employee eligible to receive the federal mobility budget?

Employees eligible for the Federal mobility budget must either have a company car or be eligible for one under their employer's (car) policy. The previous waiting period requirement has been removed, allowing immediate eligibility. However, the mobility budget can only available if the employer meets some requirements (See "Is my company eligible to offer the mobility budget?")

Is my company eligible to offer the federal mobility budget?

Companies eligible for the mobility budget must meet specific criteria. Primarily, they need to have made one or more company cars available to their employees for an uninterrupted period of at least 36 months immediately before implementing the mobility budget. This eligibility ensures that the mobility budget can serve as an alternative to the company car system, promoting more sustainable transportation options.

What is the federal mobility budget?

The Federal mobility budget is a flexible system allowing employees to exchange their (right to a) company car for a budget. This budget can be spent on eco-friendly cars, sustainable transport options, and housing costs. Unused budget can be received as cash at the end of the year at a favorable tax rate. This offering tax benefits and promoting sustainable mobility.
